Edit Users

Access to Manage Users

The Manage Users section (in step 1 below) is available only to Account Owner users and Admin users with full access, since these roles have permission to create and manage other users.

Note that only Account Owners can create or edit other Account Owners.

User Affiliation

If the Enable User Affiliation box is ticked in Account Settings, an Affiliation drop-down also appears on the Edit User screen with options: Internal and External. This field is required.

Editing another user's details

If you're an Account Owner or an Admin user with full access, you can update another user's Email, First name, and Last name from the Manage Users screen, as follows:

  1. Go to the Profile icon ( ) > Manage Users.
  2. Click the Edit icon ( ) next to their name.
  3. Edit the relevant sections.
  4. Click Save.

Editing your own details

If you're an Account Owner or an Admin user with full access, you can also update your own Email, First name, and Last name from the Manage Users screen.

SSO users

SSO users cannot use this feature.

Updating your first and/or last name

  1. Go to the Profile icon ( ) > Manage Users.
  2. Click the Edit icon ( ) next to your own name.
  3. Update your First name and/or Last name.
  4. Click Save.

You'll be redirected back to the Manage Users screen. No password confirmation is required, and no emails are sent.

Updating your email address

Updating your email address requires additional verification:

  1. Go to the Profile icon ( ) > Manage Users.
  2. Click the Edit icon ( ) next to your own name.
  3. Update your Email field.
  4. Click Save.
  5. A confirmation pop-up appears. Re-enter your new email address and your current password, and click Confirm change.
  6. If you have 2FA enabled, complete the 2FA step.
  7. You'll be returned to the Edit User screen. You remain logged in with your old email address – it stays active until your new address is activated.
  8. An activation email is sent to your new address. Log out of your account, and click Activate your account in that email.
  9. You'll be prompted to set a new password, and you'll be automatically logged in with your new email address.

Activation link expiry

The activation link expires after one hour. If it expires before you activate your new email address, you can resend it – see below.

After activation, you'll receive a confirmation email at your new address noting any other SimplePay profiles (such as an employee self-service profile) that are still linked to your old address. All other Account Owners on your account will also be notified of the change.

While awaiting activation

After submitting an email change request, the Edit User screen displays a warning banner showing your pending new address. From this banner you can:

  • Cancel: Cancels the request and reverts your email to the original address.
  • Resend: Sends another activation email to your new address.
